How to back up your files before a laptop repair

Most repairs do not touch your files, but some do. A few minutes of backup protects your work either way.

Why back up first

Repairs such as a new hard drive, a Windows reinstall or a virus clean-up can erase data. Even a simple repair carries a small risk if the drive is already weak. A copy of your files means the worst case is a delay, not a loss.

What to copy

  • Documents, spreadsheets and school or business files
  • Photos and videos
  • The Desktop, Downloads, Documents and Pictures folders
  • Browser bookmarks and saved passwords (export them or sign in to sync)
  • Software licence keys and the email you used to buy them
  • WhatsApp backups and chat exports if you use WhatsApp Desktop

Where to back up

Use two places if you can: an external drive or flash drive, plus a cloud account such as Google Drive or OneDrive. Do not store the only copy on the same laptop. Check that the files open from the backup before the laptop leaves your hands.

If the laptop will not start

Do not keep forcing it on. Tell the technician before any repair that you need your files. They can usually connect the drive to another computer to copy data, depending on the fault. Ask for this before any Windows reinstall.

Before you hand it over

  1. Write down the problem and when it began.
  2. Note your Windows password or PIN if the technician needs to test. Change it afterwards.
  3. Remove personal items such as SD cards, flash drives and SIM trays.
  4. Take the charger only if it is part of the problem.
  5. Ask for a written job record, so you can track the repair.

Frequently asked questions

Will a laptop repair delete my files?

Not always. Hardware repairs such as a screen or keyboard do not touch your files. Drive replacements and Windows reinstalls can erase them, so back up first.

Can I back up a laptop that will not turn on?

Often yes. A technician can read the drive on another computer, depending on the fault. Tell them before any repair that you need your files.

This guide is general advice. Every device and business is different, so if you are unsure, ask a technician before you act.
